Video Recording Information

Deadline: The deadline has been extended by one week. Please upload your video by: *** June 1, 2022, 23:59:59 PST *** .

How to: If you misplaced the email with the upload link, just log in to the conference submission website and open the page corresponding to your contribution.

At the ECC2022 all authors are required to create and upload a recording of their presentation as described hereafter.

A standard technical session is 2-hour long. It will contain 7 15-minute-long presentations. The Q&As do not take place after each talk but are concentrated at the end of the session in an ad hoc 15-minutes interactive Q&A slot. A special note for tutorials is provided at the end of this email.

Please note the following guidelines.

  • In-person participants: if you have registered for the conference as “in-person” and you will be physically at the venue when your presentation is scheduled, then you will have to complete two actions: (1) prepare a video recording of your presentation; (2) give a live presentation at the conference. Please note that your live presentation will be streamed on the Virtual Conference Platform at the scheduled time. This modality will be the preferred way in which your presentation will be delivered. Despite this, we still require that you upload a recording of your presentation in advance. You can expect that your recording be used, for instance, in the following cases: you are unable to attend; there are technical issues with the streaming; the attendees prefer to participate asynchronously (e.g. because they are located in an inconvenient time-zone).
  • Virtual participation: if you have registered for the conference as “Virtual” then you need to prepare a video recording of your presentation that will be played on the Virtual Conference Platform and at the physical venue at the scheduled time. Please note that streaming is possible only from the conference venue. Thus, virtual participants can deliver their presentation only via recording. If you are a virtual participant you are expected to attend the Q&A slot at the end of the session in which your presentation has been scheduled.

Release form

A release form granting permission to host the presentation video online (to be accessed by the virtual conference attendees) must be uploaded alongside with the presentation video.

Video File Requirements

Please use the following guidelines to prepare your video:

*Video length contributed/invited/tutorial papers: 15 minutes
*File size limit for regular/invited/tutorial papers: 100MB file
*File format: mp4
*Minimum height: 480 pixels
*Video aspect ratio: 16:9

Presentations can be shorter than the maximum length allowed.

Except for the above duration and digital constraints, the form of the presentation is left free (though please be sure the video includes the title of the paper, the authors, and a mention to ECC2022).

Recording Suggestions

There are many options to record your video. Zoom is a popular and easy to use option. You can create a meeting, share the screen (your slides), activate the camera of your laptop of computer and then press “record”. More information about this option can be found here:  Local recording – Zoom Help Center

Other options are OBS Studio, Vimeo, Loom or the app Explain EDU for I-pad users.

If your video is larger than 100MB, you can reduce it using FreeVideoCompressor in a matter of minutes.

General suggestions for recording and uploading your presentation

  • It is highly recommended to record the presenter’s face, but make sure the slides remain visible.
  • The required 16:9 aspect ratio works best with a 4:3 aspect radio of the slides because it allows enough room for a thumbnail of the speaker at the side of the slides.
  • Make sure to record the whole screen
  • Set a timer on your smartphone to keep track of your presentation time
  • Check the file size and make sure it is max. 100 MB. You can use a compression tool to reduce the size, for instance FreeVideoCompressor FreeConvert or HandBrake.
  • Start to upload in time. The video file may take a long time to transfer.
